C&B SPECIALIST

We are looking for a C&B Specialist to join our HR team and support end-to-end HR operations (C&B, onboarding, employee records) and oversee day-to-day office administration to ensure a compliant, efficient, and service-oriented workplace.

KEY RESPONSIBILITIES

1) Compensation & Benefits (C&B)
- Maintain and update HR databases and reports in a timely and accurate manner.
- Process approved staff movements and resignations/clearance.
- Administer monthly payroll and payroll transactions; maintain benefits and compensation records.
- Handle statutory insurance and tax matters: SI/HI/UI and PIT (registration, changes, monthly reporting/reconciliation).
- Prepare labor contracts/appendices; ensure provision of government-mandated benefits.
- Prepare and submit reports to the Department of Home Affairs, Immigration as required.

2) Employee Documentation & HR Operations
- Execute onboarding procedures: collect employment documents, manage employees profiles, coordinate induction/orientation.
- Coordinate expatriate paperwork (work permits, TRC, related documents).
- Partner with line managers and cross-functional teams to address HR queries; provide timely advice, updates, and HR briefings.

3) Employee Lifecycle Support
- Onboarding & Integration: Track milestones with line managers, conduct orientation, run newcomer surveys, analyze insights, and action follow-ups.
- Engagement & Retention: Plan small engagement initiatives, conduct stay interviews, summarize findings, and recommend retention actions.
- Development Touchpoints: Coordinate check-ins/performance cycles and capture development plans with managers.
- Programs & Compliance: Support HR projects, audits, policy rollouts; assist HRM in planning, executing company events, internal activities.
- Offboarding Support: Coordinate knowledge handover, exit formalities, and feedback loops to improve the employee experience.

4) Administration & Office Management
● Office Facilities & Vendors:
   ○ Oversee office facilities, seating plan, meeting rooms, pantry, and office cleanliness/safety.
   ○ Manage vendors (cleaning, security, courier, printing, telecom/Internet, repair/maintenance); negotiate & monitor contracts.
● Procurement & Assets:
   ○ Plan and procure office supplies/equipment; maintain inventory and asset tagging/hand-over records.
   ○ Coordinate with IT on equipment issuance/return for onboarding/offboarding; maintain asset life-cycle logs.
● Administration Finance Controls:
   ○ Track admin budget, petty cash, and monthly admin invoices; ensure timely payment requests and reconciliations.
   ○ Maintain contracts/administrative records and ensure renewals (leases, services, insurance) are actioned on time.

5) Other
- Perform other tasks assigned by the HR Manager.

JOB REQUIREMENTS

- Strong organizational skills; resourceful and able to multitask effectively.
- Solid understanding of Vietnam labor laws, HR policies, and practices.
- Good communication and negotiation skills; customer-service mindset.
- Demonstrated business partnering approach—ability to understand needs and propose solutions.
- Meticulous, detail-oriented, highly organized; comfortable working with numbers and confidential data.
- Strong teamwork and stakeholder-management skills.
- High level of English proficiency (written and spoken).
- Proficient with Google Suites is a plus;
- Admin-specific plus points: vendor management, office procurement, asset/inventory control, travel coordination, and basic budgeting/petty cash handling.

WORKING TIME

From Monday - Friday | 8:00 - 17:30 (1h30 lunch break), flexible to work from home every Friday
